Job Summary
Oversee the administrative duties and soft services (e.g.: Waste Management, landscape and building cleaning) to ensure the smooth operation of facilities and a maintaining a safe and pleasant working environment.
This role requires strong organizational skills, excellent communication, and the ability to handle multiple responsibilities efficiently.
Roles & Responsibilities
- Coordinates, oversees and/or manages repair and maintenance work assignments performed by technicians, vendors and contractors performing building maintenance, security & fire, and janitorial work. Reviews work orders to ensure that assignments are completed.
- Oversee office maintenance by coordinating with vendors and contractors, managing schedules, and tracking progress.
- Performs facilities inspections and prepares reports. Ensure site equipment and facilities are well maintained and renewals are in place.
- Supervise office renovation projects, ensuring timely completion in collaboration with vendors.
- Plan and execute enhancements to office layouts, systems, and the procurement of safety equipment.
- Maintain preventive maintenance schedules, ensure the timely renewal of building permits, and manage compliance inspections.
- Organize, update, and manage all facilities-related documentation and records.
- Responds quickly to emergency situations, summoning additional assistance as needed.
- Processes invoices received from vendors.
- Any other tasks or duties assigned by Head of Department or Company from time to time.
Skills Required
- Diploma or Degree holder
- Candidate with 1 or 2 years of related building/ facility experience is preferred
- Excellent communication and interpersonal skills
- Ability to work independently and as part of a team
- Proficiency in office software (MS Office)
- Problem-solving and decisions made with general understanding of procedures and company policies to achieve set results and deadlines.
Salary Range: $4,000 - $4,500 Per Month
